Accounts Payable Specialist


MP&F Strategic Communications is seeking an Accounts Payable Specialist with a degree in accounting or related field to join our accounting department and report directly to our VP of Finance. The ideal candidate resides in Nashville, TN. Our office offers a hybrid work schedule with employees coming into the office three days a week.

Responsibilities Include:

  • Work directly with the Controller and VP of Finance to support and help lead the accounts payable function:
    • Manage accounts payable inboxes, review incoming invoices, and ensure timely coding and entry into the accounting system for payment.
    • Manage company credit card spending, ensuring appropriate documentation and coding.
    • Reconcile employee expense reports and ensure compliance with company policies.
    • Accurately assign expenses to client projects from vendor invoices.
    • Prepare payment reporting for review by the Partner group.
    • Process weekly payment runs and check payments following review and approval.
    • Collaborate with external vendors to resolve invoice or payment discrepancies.
    • Maintain accurate vendor records, including W-9s and compliance documentation.
  • Monitor and track media buys to ensure accuracy and timely reporting.
  • Oversee daily cash activity, including management of the ‘checkbook’ and review of bank movements.
  • Prepare and distribute weekly reports used in cash reporting.
  • Provide general support for audits and other financial reviews.
  • Assist with other finance tasks and projects as required.

Skills & Competencies

  • Attention to Detail: Strong accuracy in processing invoices, reconciliations, and reporting.
  • Organization & Time Management: Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Technical Proficiency: Experience with accounting/ERP systems (e.g., Workamajig, QuickBooks, or similar) and strong Excel skills.
  • Analytical Skills: Ability to identify and resolve discrepancies in invoices, expense reports, and general ledger accounts.
  • Communication: Clear and professional written and verbal communication, including the ability to work with internal staff, external vendors, and leadership.
  • Collaboration: Team-oriented, with the ability to support colleagues across Finance and other departments.
  • Confidentiality: Commitment to handling sensitive financial information with discretion and integrity.

This position reports directly to the VP of Finance and is part of MP&F’s accounting department.
